I just wanted to take a moment to tell you how happy we are at JD Handling with our ScanFile system. I know it seemed like it took me forever to decide to go paperless but I am so happy we took the plunge!
For us, it’s all about tracking the paper that pertains to orders. Like any manufacturer, we generate a ton of it and we constantly need to refer to it! We also generate a considerable amount of data with each order (CAD drawings, Excel files, Word docs, e-mail correspondence, just to name a few) that until now we had no way of tying together with the actual paper order. Now, everything that goes into an order is instantly retrievable from any PC on our network! We can literally see every piece of information pertaining to an order within seconds. We also had a huge problem when it came to quotes that were over 3 months old. The customer would call and say that they were ready to move forward and, more often than not, we could not find the original quote. We often had to start all over again and re-quote the deal. The advantage the ScanFile system now gives us is that; instead of doing quotes in our normal accounting system (that is a slow process) we just simply jot down a quick estimate on a sheet of paper, scan it in, type in the customer name and phone number, and if he calls back in 3.6 12 months we have the complete estimate on the screen in seconds! This issue has been completely resolved and an added benefit is that we can pull up any open quote no matter how much time has passed.
On average, we were making two or three copies of every order that came in our door. The scanning system has significantly reduced the number of copies we make. I have not sat down and calculated the copier reduction savings but I know we are buying a lot less paper to add to the copier!
As I mentioned to your sales rep, we are a growing company and I knew the paper mess was only going to get worse.

Tallix is an art foundry that has been in operation for over 30 years. During that span of time, thousands of sculptures have passed through its doors. To keep track of what is in production, many different forms were created and filed in our copious file cabinets. We need many different file cabinets as our staff has different and separate responsibilities, such as quoting, shipping, accounting, photographing, and scheduling.
Frequently, these files were consulted to provide information for current works, which took a long time to procure.
As the years accumulated and policies and staff changed, filing became a disorderly, confusing mess. There had been good intentions to get organized, but no one was quite sure how to make sense of the heaps of paper files.
When company ownership and management changed, a new look was taken at the issue. A decision was made to implement a program that digitized our thirty year history, and make information on works in progress easily accessible. Some research brought up EDI as a credible business that seemed to offer exactly what Tallix needed. Once the system was in place, we were impressed with its capabilities and storage space. As the Scanfile program is fully customizable, we were able to set it up so the most relevant information for us was searchable, as opposed to a program that may come with a standard setup for manufacturing. Because we now utilized Scanfile, records of unique sculptures are catalogued as specifically as we have always wanted! There is so much data from the past that is relevant when we re-cast works, and the program saves us a lot of time and confusion that would normally come with sorting through our files.
We plan on entering all files into the program, and eliminating paper files for good.
